# Can you use AI to send emails?

**Verdict: Yes, with care.** Yes, with care. Any chatbot can draft an email. ChatGPT can only act in your mailbox through a connected mail app, where your plan and settings allow it. Read every email before it goes.

Short answer: drafting is the easy part and works in any chat. Sending is a separate step. ChatGPT can only act in your mailbox through a connected mail app, that app has to be available on your account, and the action has to be switched on. Most people get nearly all the value from the draft, and pressing send themselves is the safest habit.

## What ChatGPT can and can't do with email

In a plain chat, you describe what you want to say and ChatGPT writes a draft. You can ask for it shorter, warmer or firmer. Then you copy it into your own email and send it.

OpenAI describes connected apps as the way ChatGPT reaches services you already use, and says some apps let it "take supported actions in the connected service". For email, its Help Centre covers two:

- **Gmail.** You can connect Gmail, and since August 2026 more than one Gmail account. OpenAI's pages describe using it to find emails across your inboxes and to run tasks when a new message arrives. The pages we read do not set out a Gmail send action, so check your own app settings before relying on one.
- **Outlook Email.** It can search and read your messages and draft replies. For shared or delegated mailboxes, OpenAI says ChatGPT can send plain-text email from or on behalf of the mailbox, if your Microsoft permissions and workspace settings allow it.

OpenAI says app availability depends on the app, your plan, region, workspace, role, model and the ChatGPT interface you use. In a work workspace there are extra gates: an administrator has to enable each action, and for Outlook a Microsoft Entra administrator may need to approve the permissions first.

## Three ways AI can 'send' an email

These get lumped together, which is where most of the confusion comes from.

1. **Drafting in chat.** The AI writes and you send it. You are the last step every time.
2. **Acting through a connected mailbox.** An official feature with conditions: the app, your plan, your permissions and, at work, your administrator. ChatGPT may ask you to approve an action before it runs.
3. **Automated sending through an API or agent.** A developer wires up a system so emails go out without anyone pressing send. It can be useful, but a mistake can reach a lot of people before anyone notices.

So when someone asks whether AI can send emails, the honest reply is: which of the three do you mean?

## Why ChatGPT says it can't send emails

The most common reason is that no mail app is connected, so it has nowhere to send from. It can still write the words.

If you have connected one, check three things. Is the app available on your plan, region and interface? Is the action enabled? (In a workspace, an administrator controls this.) And what is your permission setting? OpenAI says some requests may be refused outright instead of showing an approval prompt.

## How to do it well

**Give it the facts.** It can shape the wording but doesn't know your dates, names or what you agreed. Leave gaps and it may fill them with something that sounds right and isn't.

**Read the whole thing before it goes**, including the subject line and every recipient. A polished email to the wrong person is still a wrong email.

**Keep approvals on.** OpenAI's permission options run from **Always ask** to **Allow all actions**. It lists sending an email as an action that may need extra review, and says **Allow all actions** carries elevated risk because supported actions may run without another confirmation. For email, **Always ask** or **Allow read actions** keeps you as the person who sends.

**Give it the least access it needs.** If a pasted draft will do, don't connect the whole mailbox.

If you want drafts that sound like you, see [copying someone's voice](/questions/copy-someones-voice/) for where the line is. The same checking habit applies when you are [writing a cover letter](/questions/write-a-cover-letter/), [applying for jobs](/questions/apply-for-jobs/) or [replying to customer reviews](/questions/reply-to-customer-reviews/). If the real problem is a stuffed inbox, start with [cleaning up your inbox](/questions/clean-up-my-email-inbox/).

## Rules and risks

### Is it safe to give ChatGPT your inbox?

Typing your email address into a chat is a small thing. Connecting the inbox is a bigger step. OpenAI says ChatGPT can access only what the connected account can see, after you authorise it.

On training, OpenAI says it may use information accessed from apps to train its models on Free, Plus, Go and Pro plans if **Improve the model for everyone** is on. It does not do this by default for Business, Enterprise and Edu. For Google apps it says it doesn't train on data taken directly from Gmail, with exceptions: conversations you submit as feedback, anything you copy and paste in, and anything that appears in ChatGPT's reply. You can disconnect an app at any time, turn off Memory and turn off model improvement. Disconnecting doesn't delete existing chats or saved memories. Deleted chats are scheduled for permanent deletion within 30 days, with some exceptions for security and legal reasons.

There is also a security risk. The NCSC says current language models "do not enforce a security boundary between instructions and data", and advises keeping AI that processes emails from outside senders away from privileged tools. An inbox the AI can both read and send from is that set-up.

### Emailing customers

If you email customers from a business, you are likely to be the data controller, and the ICO says a controller is responsible for complying with UK GDPR. Pasting customer details into an AI tool, or connecting a business mailbox, is processing you answer for. The ICO's AI guidance says using AI to process personal data will usually need a data protection impact assessment (DPIA), and that you should check a third-party AI product is compliant before you use it.

Marketing emails also fall under PECR. The ICO says you can email marketing to an individual only if they have specifically consented, or under the soft opt-in: they bought a similar product or service from you, and you gave them a simple way to opt out when you collected their details and in every message since. You must not hide who you are, and you must give a valid address to opt out. Sole traders and some partnerships count as individuals. An AI writing the email doesn't change any of this.

### Telling people you used AI

None of the sources we checked sets out a general UK legal duty to say an email was written with AI's help. They don't settle it for employers, universities or other bodies with their own rules either, so if yours has a policy, follow it.

## Questions people ask

### Can ChatGPT send emails on your behalf?

Only through a connected mail app, and only where your account allows it. OpenAI's Outlook page says ChatGPT can send plain-text email from a shared or delegated mailbox if Microsoft permissions and workspace settings allow it. Sending an email is one of the actions where ChatGPT may ask for your approval first. In a plain chat, you copy the draft and send it yourself.

### Why can't ChatGPT send emails?

Usually because no mail app is connected to your account, or because the action is switched off. OpenAI says app availability depends on your plan, region, workspace, role, model and the interface you use. In a work workspace, an administrator has to enable each action the organisation allows.

### Is it safe to share your email with ChatGPT?

Typing your address into a chat is different from connecting your inbox. If you connect it, ChatGPT can only see what that account can see. On Free, Plus, Go and Pro plans, OpenAI may use data accessed from apps to train its models if 'Improve the model for everyone' is on. You can turn that off and disconnect an app at any time.

### Can you tell if someone used ChatGPT for an email?

None of the official sources we checked gives a reliable way to tell, so treat any hunch as a guess. If AI use matters where you work or study, the useful question is whether there is a policy that asks people to say so.

### Can I use AI to send emails to customers in the UK?

Yes, but the usual rules still apply. The ICO says you can email marketing to individuals only if they specifically consented, or under the soft opt-in for existing customers, and every message must identify you and give a way to opt out. If you put customers' personal data into an AI tool, you remain responsible for it under UK GDPR.
